16|Info Management with CMS

There are hundreds of Content Management Systems in uses today. Finding the one that will make the best knowledge bases and links directory has been a challenge. I’m not yet convinced that an off the shelf CMS will be the Ultimate personal information management system.
Most commercial CMS are too expensive and overly complicated for the task at hand. A large feature set is great for a company Web site, but not for the quick task of adding a link and small description to a personal knowledge base system. There is just too much overhead for such a simple task.
There are also many open source Content Management Systems, but they too suffer the same problem. Some open source systems can be easier to use once setup, but that may require some custom programming. The high learning curve for these systems will be a turnoff for many.
Using a full scale CMS as a basis for our personal knowledge base is starting to look bleak. Wouldn’t it be nice if we could use a mini CMS. Blogs have taken the internet by storm, and their use is just starting to hit mainstream. Search engines love blogs, people love reading blogs, and bloggers love posting to their blogs. Everyone is in a great love affair with their blogging software. Technorati a blog search engine now tracks over 28.6 million blogs, with 75000 new blogs added every day. Blogger and LiveJournal are the largest blogging communities. I takes just minutes to setup an account and start blogging. Even the most basic computer user will find the software easy to use and intuitive.
It looks like blogs could be the answer to our personal knowledge base system. Blogs, being mini CMS systems, are great for dealing with articles, images, comments, search and syndication feeds (RSS). One thing they lack however is the one click action of a good bookmark manager to store your favorite web sites.
Blogger owned by Google does have some emerging support for this. The Google browser toolbar has a direct “add to blog” feature, which will add selected content to your blog. This might develop into the system I’ve been looking for, but we will have to see.

13|A peek at the Ultimate Info System

Thus far the “Ultimate Personal Info System” has eluded all my search efforts. I’m starting to wonder if I’m looking for something that doesn’t exist?
Maybe my criteria to qualify as the “Ultimate” system are somewhat demanding, but not at all unreasonable. I have seen every feature in one solution or another, but never all in one. Here is my list of 30 features that I think the Ultimate system should have. I didn’t bother including obvious feature such as: security and printing.

- Article categories (taxonomy)
- Unlimited subcategories
- RSS and Atom Feeds of individual categories

- Description big enough to store an entire article

- Public, User Group and Private bookmarks and articles
- Article commenting
- Article versioning control
- Related tags and articles, from group and public
- Straight Text and WYSIWYG editor (html)
- Assign personal rank system (how useful is the data)
- Order search results by personal rank
- Search tags, categories, headlines, and description/articles
- Import bookmarks from browser
- Add bookmarks, and text samples from browser toolbar (without loading application)
- Export database as XML
- Import database as XML
- A home page, with most used resources
- Tabbed articles
- Multiple open articles
- Always visible scratch pad
- Send to friend feature
- Convert article to PDF
- Ability to cache bookmarks/urls
- Store cached bookmarks as articles
- Absolute Search Engine friendly URLs to articles
There are a few solutions that have many of these features, but I have yet to find a solution that meets all the key features described (bold features). So the search will continue for the rest of the week until we have a good solution.

Information Management is a very broad term, encompassing a broad range of applications. This week we will focus on Personal Information Management. While most of these products are intended for business use, the focus here will be on the personal application of each system. For most people the key considerations for a personal use system is price, and ease of use. All the products here are under $150.00 per year. Here are a few different types of Information Management Systems: Knowledge base and FAQ, Content Management Systems (CMS) and Bookmark managers. First we will look at Knowledge Base and FAQ Applications. Some of these products also double as customer support centers, and ticketing systems.

Overall a nice system, but too pricey for the features offered.

Cluttered Interface but a nice overall feature set. The price is just right.

09|Direction and Information Management

As you can see I have already managed to neglect this blog for a whole week. When I started it 2 weeks ago I promised myself I wouldn’t let that happen this time around. I’m not too hard on myself though, as this past week has been very productive for me. Although I don’t have much to show for it, at least not in the literal sense, since most of the week was spent researching and planning the future of this site. I also had some time for soul searching and just plain thinking. So with all this info and excitement I feel like my head is about to explode. I better start putting pen to paper (or fingers to keyboard), before I lose this great feeling.
With that said, I went and finished the website… or better put, I uploaded all the appropriate construction pages. My plan from here is to start posting a blog, about the same topic, every day of the week. At the end of the week I will combine all the posts into a weekly in-dept article about the selected topic. At that point I will select a new topic and start another week.
After about 2-3 weeks or until I am ready, I will put the articles into a podcast for downloading. The podcast will also be about the same topic that I discussed during the week.
Since this is the first week, the topic will be bookmarking software, knowledgebase tools, and anything else that will make it easier to save and find information in the future. I was inspired to write about this issue after having many difficulties organizing the many links that I have saved during the last week.
Information is the key not just for Internet Marketing, but all aspects of our lives. New developments happen every day and if you can’t keep up, you lose. It’s a key requirement that we all know how to deal with information overload, how to filter out the good and how to retrieve what we want in the future. By the end of the week, it is my goal to present you with a knowledgebase, bookmarking and information management tool that will not only save you time, but also gives you a competitive advantage.
